Different data roles in the service
We have two different aspects of our service that relate to the data that we hold on our users (dental practitioners and practice staff). These are described below
Holding information on users for the purposes of referring dental patients using the referral application and communicating with you Holding information on users who have signed up to use to use the Learning Zone of the website – and only if you have signed up for this.

We collect your name, your GDC number and your email address as part of the referral and online learning systems. Irrespective of the service that you are using the following applies. FDS Consultants, the provider of the referral management service, collects personal information when you register for the referrals service or our online learning system. We use this information to ensure that we can communicate with you effectively; for example to tell you if there is to be service disruption, or if there are changes to the service. This information will be emailed to you – and there is always an easy “unsubscribe” link at the top and bottom of every email from us.
We collect your GDC number to ensure that referrals forms are completed correctly and to provide you with CPD certificates if you take one of our online courses. We do not share any of your personal details with any other organisation for any purpose.
What information do we collect about you?
We collect information about you when you register to use the referrals application or the online learning packages (Learning Zone). We collect your name, GDC number and email address. We may also collect information from you when you voluntarily complete user surveys, provide feedback using the website. Website usage information is collected using cookies.
How will we use the information we collect about you?
We collect information about you in order to process your referrals efficiently and in line with the requirements of the General Dental Council. If you have signed up for our learning system we use the information to provide you with CPD certificates that are sent to your email address. We will also use your email to send you important information on the service including updates and essential maintenance. There is an unsubscribe link on each email we send you.
Access to your information and correction
You have the right to request a copy of the information we hold about you – this is a subject access request. You can find out more about this here. There is no charge for this service. We want to make sure the information we hold about you is correct so please update us via email at any time – email@example.com. You also have the right to have your personal information deleted (right to be forgotten). We will comply with any requests as soon as possible and inline with requirements for the retention of medicolegal documents.
We do not send your details to any other organisation other than those service providers who receive your referrals, for example Hospitals and Primary Care services and then only to meet the minimum requirements of the referral process.
